Il existe différentes façons de rédiger une lettre formelle en anglais. Voici un modèle qui peut être adapté selon les situations.

 

LES ADRESSES / THE ADDRESSES

1) On écrit son adresse dans le coin en haut à droite

2) On peut écrire l’adresse du destinataire en face de son adresse, c’est à dire dans le coin en haut à gauche, soit sur la même ligne, soit légèrement en dessous.

 

LA DATE / THE DATE

3) En dessous des deux adresses, on donne la date que l’on écrit en entier, on évite de l’écrire en abrégé. Elle peut se placer à gauche ou à droite. Les deux positions sont acceptées.

 

LE DESTINATAIRE / THE ADDRESSEE

4) Pour s’adresser à la personne on emploie :

   C’est une femme  C’est un homme  Ce sont plusieurs personnes
 On connait le destinataire de la lettre  Dear Mrs Johnson
Dear Ms Parker
Dear Miss Prim
 Dear Mr Johnson  Dear Mr and Mrs Johnson
 On ne connait pas le destinataire de la lettre Dear Madam
To whom it may concern
Dear Sir 

To whom it may concern

 Dear Sirs
Dear Madams

Dear Sir or Madam 

 

LE CORPS DE LA LETTRE / THE BODY OF THE LETTER :
Inutile d’aller au delà de trois paragraphes. Il faut que l’information soit claire et concise, avec une idée principale par paragraphe.

5) Dans le premier paragraphe du corps de la lettre, on explique le pourquoi de la lettre. Voici quelques suggestions :

Pour remercier

Pour chercher un travail
/ To apply for a job
I would be interested in obtaining/receiving more information about your job offer advertised in…
– I am writing to apply for a position of […]
– I am writing in response to your advertisment for the job of […] advertised in…

Pour donner de  bonnes nouvelles
/To give good news
I am delighted to inform you that I have decided to accept your offer …
Pour donner de mauvaises nouvelles
/To give bad news
I regret to inform you that after careful consideration, I have decided to turn down your offer because …
Pour se plaindre
/To complain
I am writing to express my dissatisfaction with…
Pour s’excuser
/To apologize
I am sorry for the delay in replying to your request and regret any inconvenience caused by …

6) Dans le paragraphe suivant, détailler l’objet de la lettre.

7) Dans le dernier paragraphe, dire clairement ce que l’on attend de la personne destinataire du courrier.

 

FINIR LA LETTRE / ENDING A LETTER

8) Pour finir sa lettre, On emploie une formule de politesse telle que ” I am looking forward to hearing from you.” ou son équivalent au Présent Simple : “I look forward to hearing from you.”
Si  la réponse attendue est urgente on peut ajouter l’une des formules suivantes :
–  Thank you for your prompt help.
– I would appreciate an answer at your earliest convenience
– An early reply would be greatly appreciated

9) Les salutations d’usage pour clore une lettre :
– on a mentionné le nom du destinataire, on emploie “Yours sincerely”
– on ne connaît pas le nom du destinataire, on emploie “Yours faithfully”

10) Enfin, on signe, et on ajoute son nom en lettre d’imprimerie en dessous de sa signature. Si la personne destinataire de la lettre ne vous connaît pas, on ajoute son statut marital entre parenthèses (Mr, Mrs, Ms, Miss)

HOW TO WRITE A BUSINESS LETTER

Lay out of a business letter 

1- The letter head :

It indicates the style, the postal and email address(es) of the company, as well as its phone number. According to the country where the firm is based, you may also find the Trade Register Number (for example in France).

2- The date :

It is indicated below the letter head to the right and is not preceded by any town name as is the case in French correspondence.
Here are the most usual forms :

9th December, 2015
December 9th, 2015
9 December, 2015

Avoid abbreviated forms with dots, such as 09.12.2015 as it may give rise to confusion.
If you use the … / … / … format, take into consideration the addressee’s cultural background.
British format : 09/12/2015
American format : 12 /09 /2015

3- The inside address :

It is placed on the left-hand side at the beginning of the letter and is the address of the addressee (=the receiver) and it corresponds to the address on the envelope.

4- The reference :

It is typed on the left-hand side of the page on the same line as the date and it usually consists of the initials of the person who wrote the letter (or of the person who typed it)

5- The attention line is not mandatory. It is written below the reference line “For the attention of Mrs. J. L. Benson.

6- The subject line :

It is a summary of the letter that informs the addressee of its content.

7- The opening salutation :

‘Sir’, ‘Dear Sir’ / ‘Dear Sirs’, ‘Dear Madame’/ ‘Mesdames’
If you know your correspondent, you can begin with ‘Dear Mrs. Benson’

8- The body of the letter :

Three rules : it must be clear, concise and courteous.
Each main idea should be dealt with in a separate paragraph.

9- The closing salutation :

If you know your correspondent ( opening salution = Dear Mrs. Benson), chose ‘Yours sincerely’ or ‘Best regards’. Otherwise, stick to ‘Yours faithfully’

10 – The signature :

It authenticates the letter. The name and the position should be indicated underneath the signature (ex : Clif Oward, Senior Manager)
